Where the day goes
Most agents start the day with a plan and end it having answered emails, chased documents, and handled endorsements. Service work matters, but if it fills every hour, new business stalls.
Plan the day with AI
Each morning, paste your task list into ChatGPT or Claude and ask it to organize the list into time blocks. A prompt like this works:
"Here are my tasks today. Group them into blocks: prospecting calls, follow-ups, service work, and admin. Put prospecting first and keep admin to the end of the day."
The AI won't know your priorities perfectly, so adjust the plan, but it gets you from a messy list to a schedule in seconds.
Batch similar work
- Calls together: make prospecting calls in one focused block.
- Emails together: answer service emails twice a day, not constantly.
- Drafting together: use AI to write all your follow-up messages in one sitting.
- Admin last: save data entry for the lowest-energy part of the day.
Speed up the writing
Much of the time an agent spends is writing: emails, notes, summaries. Keeping a small library of AI-drafted templates for common replies can cut that time significantly.
Review weekly
On Friday, ask AI to help you review the week. Paste in what you planned and what actually happened, then ask what patterns it notices. Small adjustments each week build a routine that protects the work that grows your book.
