Building a Small Business SOP Library With AI

If your business only runs smoothly when you're there, documented procedures are the way to change that.

The owner bottleneck

Many small businesses depend on the owner to answer questions, fix problems, and remember how things are done. That limits growth and makes time off nearly impossible. Standard operating procedures, or SOPs, spread that knowledge across the team.

Start with frequent tasks

List the tasks done most often or that cause the most questions. Common examples include answering the phone, scheduling jobs, creating invoices, ordering supplies, and onboarding new customers.

Capture the process

Record yourself explaining a task, or write rough notes as you do it. Then ask AI to turn your notes into a clear procedure with a purpose, numbered steps, common mistakes, and who to ask for help.

Review with the team

Have the people who do the work review each SOP. They'll catch missing steps and suggest improvements. This also builds buy-in.

Keep SOPs easy to find

  • Store them in one shared folder or tool
  • Use clear, consistent names
  • Link related procedures together
  • Include screenshots where helpful

Update regularly

Procedures change. Set a reminder to review SOPs a couple of times a year, and update them whenever a process changes. AI can quickly revise documents based on new notes.

Grow gradually

Aim to document one or two procedures a week. Within a few months, you'll have a library that makes training easier and frees you to focus on growing the business.
